We take accounting and the financial management of our clients very seriously, which results in accurate monthly financial statements compared to the approved budget. Both the account executive/executive director and our controller, who is a CPA, supervise this service. PAI's president also personally reviews the monthly financial statements before sending them to the client's board or finance committee. As another aspect of good financial practice, we require that every client society have an annual audit by an outside CPA who reports directly to the board. |

We believe, and our experience supports, that taking care of members, by being responsive to their concerns as customers, will help retain their loyalty to a professional society. PAI is customer/member-friendly. All PAI employees are sensitive to good customer relations and understand the need to keep members satisfied. PAI will assume responsibility for three dues billings at the beginning of each membership/fiscal year with updates to the membership database as needed throughout the year. We will carry out membership demographic updates within the dues billing schedule and update the database as information becomes available throughout the year. Our software provides ready reports for membership directory sub-divisions and we are experienced in posting to a "members only" section on the Web site or working with local printers for a cost effective annual membership directory.

The PAI office will
become your society's office, and will provide the society
an identity in the heart of medical research funding and
federal government activities. There is a US Postal Service
office in our building complex where all mail sorting is
carried out. Knowledge of PAI's clients by the postal workers
assures that even poorly addressed mail will reach us. Postal
service mail pick-up occurs twice each weekday, and once
on Saturday, and Federal Express and other express delivery
services have daily pick-up in our building. There is adequate
filing for current society files, and we make arrangement
for storage of a society's archival files in an air-conditioned
facility within a short drive of the office.
PAI has 40 DID (Direct Inward Dial) trunk lines, and your society will be assigned a unique telephone number which will be answered in the name of the society. Society leaders will have immediate access to key staff members by using direct-dial numbers to their desks. In addition, the "General Mailbox" is accessed every business morning and messages are distributed to the staff person responsible, or to an officer or volunteer as appropriate. The fax machine is available 24 hours a day, using a dedicated line. E-mail messages are accessed throughout the day, and responded to in a timely manner or forwarded to the appropriate officer for action. And when staff members are out of the office, such as at a meeting, they are able to access their voice and e-mail messages for timely responses. |

We will bring experienced
association management to your society. Under the typical
scenario, one of PAI's account executives will become your
society's Executive Director. All PAI account executives
have extensive experience and knowledge of association and
professional society management and healthcare. The account
executive/executive director will be indistinguishable from
a society employee, and will do whatever is necessary to
assure that the society meets its goals within the scope
of the services provided by management. Above all, the account
executive/executive director will assure that all services
are provided in a way that presents the society in the highest
quality manner, worthy of the organization and accessible
to its members, as well as that all activities are in compliance
with the society's bylaws and policies, and local, state
and federal laws. In addition to the account executive/executive
director, PAI's president will stay actively involved with
your society's leadership, including attending some board
meetings to remain current about the society's programs and
to assure continuity in the event of a change in account
executive/executive
director. |
